Team and governance
Once more than one person touches an estimate, CrewMix gives you the controls to run it as a team: invite users, decide what each one can do, scope what they see, and keep a record of who changed what. Everything here lives under Admin in the sidebar.
Invite and manage users
Open Admin → Users to see everyone on the org, their role, their branches, and whether they're active. New user opens a form for their email, name, role, and branches; check Email an invite to set a password to send a secure link instead of setting one yourself.
- The per-row menu offers Edit, Send password reset, and Deactivate (or Activate) — deactivating keeps the account and its history but blocks sign-in and frees the seat. Delete removes the account entirely; estimates they created are kept but unlinked.
- Your plan caps active users: a Solo plan includes 1 user, and Team includes up to 10. Once you're at the cap, New user becomes an upsell pointing at Team plans instead of a form that would fail on submit.
Roles and permissions
Open Admin → Roles for the permission matrix — a checkbox per role per permission, grouped into Estimates, Library, and Admin. Toggle a cell to grant or revoke it; the change applies immediately and is audited. CrewMix ships four built-in roles — Admin, Area Director, Branch Manager, and Estimator — each with its own permission set and branch scope.
- Built-in roles can be edited (rename, change description or branch scope, adjust their permissions) but not deleted. Use the Create a role tab for anything in between, then grant its permissions on the matrix; new roles start with none.
- Manage roles lists every role with its branch scope and lets you Edit or, for custom roles, Retire them so they stop appearing for new users.
- At least one active admin — a role holding every permission — must always remain, so CrewMix won't let you strip the last one.
- Roles and the permission matrix need the Team plan; on Solo, the nav item is locked behind an upsell.
Branches
Open Admin → Branches to manage the locations your estimates are organized under. A role scoped to own branches only sees the agreements, profiles, and estimates that belong to the branches assigned to that user; a role scoped to all branches sees everything regardless. Agreements, profiles, and rule sets left unassigned are shared across every branch, while every estimate always belongs to exactly one branch.
Customers
Open Admin → Customers for a managed customer list, so estimates pick from consistent names instead of free text. Search the list, then add or rename a customer from here.
Audit log
Open Admin → Audit log for an append-only record of every create, update, and delete across the rate library, estimates, users, branches, and customers — who did it, when, and from where. Reads aren't logged, secrets are never stored in a change, and entries can't be edited or deleted.
- Filter by User, Entity, and a Since / Until date range. Newest first, paged.
- The row menu's View details opens the full field-by-field change set (from/to), and Copy grabs a plain-text summary.
- The audit log needs the Team plan; on Solo it's locked behind an upsell.
Sign-in activity
Open Admin → Sign-in activity to monitor every sign-in attempt — password success and failure, brute-force lockouts, and email sign-in / password-reset link requests — over a selectable window (7, 14, 30, or 90 days).
- By account rolls attempts up per email, with failures, successes, lockouts, and link requests side by side, so repeated failures against one account (a possible break-in attempt) sort to the top.
- Recent attempts is the paged, filterable event feed — search by account and filter by event type.
- Sign-in activity needs the Team plan; on Solo it's locked behind an upsell.
View as (read-only impersonation)
An admin holding the Impersonate users permission can open any other active user's row menu and choose View as to see CrewMix exactly as that user does — their role, their branch scope, their nav. It's strictly read-only: every write is blocked until you stop, and a banner stays on screen the whole time so it's never mistaken for your own session. Stop viewing as that user to return to your own account.
- You can't view as yourself, and the option disappears while you're already viewing as someone else.
- Starting and stopping a "View as" session is itself recorded in the audit log, attributed to the real admin — never to the user being viewed.
- A "View as" session expires on its own after an hour — you're returned to your own account, and the expiry is recorded in the audit log too.
Good to know
- Users, Branches, and Customers stay available on every plan — only Roles, the Audit log, and Sign-in activity require the Team plan.
- Branch scope and role permissions combine: a role decides what a user can do, and its branch scope decides where.
